Dashboard - Email Templates

We’re excited to introduce the new Email Templates feature in the Incentivio platform! For the first time, clients can fully customize their email templates, giving them complete control over the look and feel of their emails. Powered by the Unlayer module, this feature provides a user-friendly interface that allows you to easily design and personalize emails to match your brand’s style and messaging. With this new capability, you can ensure that every communication with your guests is tailored, visually engaging, and representative of your restaurant’s unique identity.

Key Features and Benefits

  • Full Customization: Choose from a variety of elements, such as headings, images, buttons, and more, to create emails that align with your brand’s colors, fonts, and style.
  • Easy to Use: The drag-and-drop interface makes designing professional-looking emails simple for users of any skill level.
  • Dynamic and Flexible: Add custom HTML for advanced users or use pre-built blocks to design common elements quickly.

Components of an Email Template

The Email Templates feature includes various components to build and customize templates. Here’s an overview of what each component does:

Content Components

  • Columns: Structure your email with one, two, or more columns to organize your content visually.
  • Button: Add call-to-action buttons that link to your website, offers, or loyalty programs.
  • Divider: Use dividers to separate sections and improve readability.
  • Heading: Add titles or headings to structure your email’s message.
  • Text: Insert standard text blocks for your main content.
  • Image: Upload your own photos to visually engage your guests, like showcasing new menu items or restaurant events, or use the Images tab to select from millions of Creative Commons images.
  • Menu: Create a menu of direct links within your email template, such as social media links.
  • HTML: For advanced users, add custom HTML code to include unique elements not available in the basic drag-and-drop editor.
  • Blocks: Pre-built design blocks you can reuse to speed up email creation, like headers, footers, or promotional banners. See Using Blocks to Build Consistent Email Templates for details.
  • Body: The template's Body section controls the email's overall layout and design, such as background color, padding, and alignment. You can also adjust these settings to match your brand’s style and ensure consistency across all communications.
  • Merge Tags: Merge tags allow you to quickly insert dynamic fields, such as customer name, offer start/end date, etc., directly into your communications.

How to Create a New Email Template

  1. Navigate to Communications > Email Templates section in the Incentivio dashboard.
  2. Select + Create Email Template to start building your email.
  3. Enter the Internal Title of this template and the Email Subject line, which can be changed later if needed.
  4. Use the drag-and-drop interface to add components like images, text, and buttons. You can customize each element with specific settings to match your brand.
  5. Customize the overall design of the email by editing the body section and adjusting the background color, font styles, and layout.
  6. Be sure to setup a unsubscribe link as this is required for compliance ( Click here for instructions -> Unsubscribe Links)
  7. Once you’ve finished designing, save your template. You can then reuse this for future emails, ensuring consistent branding.

 

How to Edit Existing Email Templatesedittemplate.gif

  1. Navigate to Communications > Email Templates section in the Incentivio dashboard.
  2. Click the three vertical dots on the template you'd like to edit and select Edit Email Template.
  3. This will open it in the editor. You can modify any element, including text, images, buttons, etc.
    Please note: Editing an email template after it has been sent will not change those already in customers' inboxes.
  4. After making the necessary updates, save your changes to keep the template up-to-date.

 

Using Email Templates with Communications

Email templates can be easily integrated into your Communications module within Incentivio. When scheduling an email campaign:

  1. When creating an offer, loyalty offer, or message, you can select and customize a template under the Look section.
  2. After setting up the communication, select either a pre-created template from the dropdown menu or start from scratch to create a new template. Select Customize Email to create a new version of an existing template if changes are necessary before sending it to customers.

  3. Tailor the email content for specific promotions or updates.
    Pro tip: Use dynamic fields like guest names to make each email more personal!
  4. Once your content is finalized, save the changes to the email and communication templates.

Using Blocks to Build Consistent Email Templates

Blocks make it easy to reuse content across multiple email templates. Instead of rebuilding the same sections each time, you can save them as blocks and quickly add them wherever you need, like for a seasonal campaign, event, or brand announcement.

Blocks are also perfect for standard content you use often, such as footers, social media links, or contact information.

Using blocks helps you:

  • Save time by reusing content instead of recreating it.

  • Keep branding consistent across all your guest emails.

  • Easily share announcements in multiple templates at once.

How to Create a Block

  1. Go to the Email Templates section in your Dashboard.

  2. Open or create a template and design your content.

  3. When you’re happy with how it looks, select the entire row that you’d like to reuse. Click Save.

  4.  Give your block a clear name (for example: “Standard Footer” or “2025 Halloween Banner”).

That’s it! You’ve created a reusable content block.

How to Use a Saved Block

Once a block is saved:

  • It will be available in the OffersLoyalty, or Messages template builders "Blocks" section.

  • Simply click on it to insert it into your email template just like any other content row.

Tips & Best Practices

  • Name your blocks clearly so your team knows what each one is for.

  • Keep blocks focused — save just the section you want to reuse (like a header or footer), not the entire email.

  • Check for time-sensitive details before reusing blocks (like event dates or promo codes).

  • Use them for brand consistency — headers, colors, fonts, and social links should match your overall design.

Unsubscribe Links

Please note, all marketing emails must contain an unsubscribe link. To add yours to the email template, use the text block on the editor:

  1. Write your unsubscribe prompt and highlight the text that you want to make the link
  2. Click to insert link
  3. Click special links
  4. Click unsubscribe link. 
  5. It will prompt that a url must be added, you can ignore this. 
  6. Click Save and you'll see the hyperlinked text in your editor
