Introduction
Scan to Pay is a new payment method available within Qu that enables guests to pay for an order using a QR code from the Incentivio mobile app. With a scan of the code, guests can be checked in and also apply payment for the order.
In order to use Scan To Pay, the location must be configured for the feature with the proper settings and have the payment type enabled at the store group. Please refer to other documentation for EI configuration.
User Flows
Main
The standard Scan To Pay user experience looks like this:
- Guest approaches the cashier and orders
- When the guest is ready to pay, the cashier presses the Payment button on the POS app and selects Scan To Pay (or other custom title) payment option
- The POS screen presents a pop up animation that waits for up to 30 seconds for the hardware scanner to read the guest’s QR code
- The guest selects the Scan + Pay button on the Incentivio mobile app and scans the displayed QR code using the hardware scanner
- The POS reads the code and “checks in” the user and adds the payment
- After this the cashier can close the check as is, or optionally they can go to the Loyalty Rewards screen and apply any rewards that are available for the guest
- Once completed, the cashier closes the check and the amount is deducted from the user’s account on Incentivio and the transaction is completed.

Partial Payments
The Scan To Pay service will automatically apply up to the amount that is available from the guest’s Incentivio wallet. If this amount does not cover the amount due on the check, the payment will be added, and the cashier will need to add a second payment method to cover the balance of the check, just like the standard partial payment flow on the POS
Refunds and Cancellations
Refunds and cancellations are supported for Scan to Pay transactions the same as with other gift card providers:
- Full and partial refunds are allowed, but must be applied to the original QR code payment.
- Cancellations must be processed on the same business day.
- Refunds cannot be applied from EI Reporting.
Scan & Pay vs. Scan For Rewards
The Incentivio app has two QR codes available to the guest on the mobile app. If the user selects the “Scan & Pay” option, the payment will ONLY add a payment to the check when the cashier has explicitly selected the payment method from the POS payment screen and the QR animation pop up is being displayed:
IMPORTANT: If the guest scans the same QR code from any other screen or uses the “Scan For Rewards” QR code, the guest account will be looked up and added to the check, but payment will NOT be added. To resolve, the cashier will need to select the Scan To Pay payment method and have the guest scan again with the “Scan & Pay” QR to add the payment to the check.
FAQ and Troubleshooting
What happens if a guest is already identified on the check and another guest’s code is scanned?
The POS will present a pop-up message to the cashier to remove the current guest before switching.
Can I remove the user from a check if they don’t want to pay with the app or check in?
Yes. The cashier should remove the added payment and then use the Remove Customer from Check button on the Loyalty Rewards screen prior to applying any payment.
