Toast In Store Gift Card Transaction Steps

Please note: The QR codes printed on the back of Toast gift cards are not compatible with Incentivio. Please use the magnetic stripe and hand-key the gift card number on the physical gift card. Alternatively, invite the customer to add their physical gift card to their loyalty account, which will generate a QR code that can be scanned from the app.

 

Active Cards

Balance Inquiry

  1. From the order screen, scroll to the right of your menus to locate and select the Gift Cards button. Next, select Balance Inquiry.image2.png
  2. Scan, swipe, or key in the guest's gift card, then select Done to show the results.

  3. The balance inquiry results will appear with the card's dollar balance.
 

Add Value

  1. To add value to an existing gift card from the ordering screen, select the Gift Cards button, then choose Add Value ($)
  2. Enter the amount the customer would like to add to their gift card and select Next
  3. Locate the guest's gift card account by either keying in their card number or swiping their gift card. 
  4. The added value will then appear on the order screen and is ready for payment.

Redeem Full Order

  1. From POS > New Order.
  2. Add Items to order.
  3. Ensure the total amount due is less than the amount on the gift card
  4. Click [Pay].
  5. Click [Gift Card]
  6. Enter the card number of an active gift card
  7. Run a balance inquiry on the card used

 

The order should move to the CLOSED CHECKS tab and have a gift card payment for the full amount. The amount should deducted from the card and step 7 should display the remaining amount of the card  

 

Reverse Redeem

  1. In the PAID CHECKS tab, locate one of the orders created and paid for in one of the previous 2 tests
  2. Click [PAY($)]
  3. Note the gift card number used to pay for this order, and the amount of money it was redeemed for
  4. Click each payment and press [Remove] / [Void]
  5. In the overflow menu, click “Void Order”
  6. Confirm void order
Run a balance inquiry on the gift card that had the payment voided. The balance should incremented by the amount of the voided payment  


Inactive Cards

Sell Card

  1. From the Order screen on your POS, scroll to the right of your menus until you find the Gift Cards button.

  1. Select Sell Card
  2. Enter the Amount you wish to add to the card.
  1. Select Next.
  2. Now, you have the option to either swipe, scan, or key in the gift card number. If it will not swipe, hand-key the number, which can be found on the back of the gift card.
  3. Select Done to add the gift card to the guest's check and proceed with completing the guest's order and payment.


Optional:

  1. From POS > New Order.
  2. Tap [Gift Cards] > [Balance Inquiry].
  3. Enter the card number of the gift card. Verify the gift card has the amount on the card for which it was sold. 



Reverse Sell Card

  1. Follow the steps from the “Sell Card” test to complete the action of selling a card
  2. From POS, Navigate to the “Closed Orders” tab
  3. Locate the check from step 1
  4. Click [Update]
  5. Click [Pay]
  6. Click [Void]
  7. Confirm Void
  8. In the overflow menu, click “Void Order”
  9. Confirm Void
  10. Create a new order
  11. Click [Gift Card]
  12. Click [Balance Inquiry]
  13. Enter in card number for the gift card you sold in step 1
  14. Click [Done]. Verify the following message appears, "The gift card is inactive.

Online/ In-App

Refunding a Gift Card purchased on the app

Unlike In-Store operations, refunding a Digital Gift Card purchase must be completed through your Pool Account. 
You must also remove all value and deactivate the card from the Gift Card section of the admin portal
